Who we are
USQ Practice (“USQ Practice,” “we,” “us,” or “our”) is a practice-management application used by the clinicians and administrative staff of Union Square Therapy to manage scheduling, sessions, billing, and reporting. This policy explains what information we collect, how we use it, and the choices you have. It applies to the USQ Practice web application at usqpractice.com.
Information we collect
We collect and process the following categories of information:
- Account information. When you sign in, our authentication provider (Clerk) supplies your name, email address, and a unique account identifier so we can establish your identity and role within the practice.
- Practice and clinical records. Information that clinicians and administrators enter into the app — such as patient records, sessions, charges, and payments — used to operate the practice.
- Google Calendar data.If you choose to connect your Google Calendar, we access your calendar events through Google’s API in order to synchronize therapy sessions between Google Calendar and USQ Practice (see below).
How we access and use Google user data
Connecting Google Calendar is optional and initiated by you. When you connect, we request the https://www.googleapis.com/auth/calendar.events scope. We use this access solely to:
- read your calendar events to import scheduled appointments as sessions in USQ Practice, and
- create and update calendar events so that sessions recorded in USQ Practice stay in sync with your Google Calendar.
We do not use Google user data for advertising, we do not sell it, and we do not use it to train generalized artificial-intelligence or machine-learning models. We only access the Google data needed to provide the calendar-sync feature you enabled.
USQ Practice’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
How information is stored and protected
Application data is stored in a managed Postgres database (Neon). Sensitive credentials, including the Google refresh token used to maintain your calendar connection, are encrypted at rest. Access to the application is restricted to authenticated, authorized practice staff, and data is scoped so that users can only see records within their organization.
Service providers
We rely on a small set of trusted third-party providers to operate the app. Each processes data only as needed to provide its service:
- Google — calendar synchronization (only if you connect it).
- Clerk — user authentication and account management.
- Stripe — payment processing.
- Neon — database hosting.
- Vercel — application hosting.
Data retention and deletion
We retain information for as long as it is needed to operate the practice and meet legal, accounting, and recordkeeping obligations. You may request deletion of your account information by contacting us at the address below; some records may be retained where required by law.
Revoking Google access
You can disconnect Google Calendar at any time from your settings in USQ Practice, which removes the stored refresh token and ends our access. You can also review and revoke access directly from your Google Account’s third-party access permissions.
Your choices and rights
You may access or correct your account information, request deletion, or ask questions about how your data is handled by contacting us. Connecting Google Calendar is entirely optional, and the app remains usable without it.
Changes to this policy
We may update this policy from time to time. When we do, we will revise the “Last updated” date above. Material changes will be communicated through the app where appropriate.
